UNLEASHING HUMAN CAPABILITY – HARMONISING OBJECTIVES AND PRIORITIES
Modern management systems need to harness web technology to provide a real time interactive platform to harmonise team objectives and priorities. An interactive and live dashboard can unite global and local teams. These show key objectives and processes, providing instant feedback on interrelated goals, timelines, efficiency and results.
Vast amounts of information flow freely through organizations without contributing to the overall objectives. A transparent management system showing the interconnectivity of each person’s role, and tasks would bring a more timely and cohesive approach to the fore.
The challenge is aligning the overall goals and values of the organization with three key ingredients. Firstly, engaging and empowering individuals so their priorities reflect the organizations. Secondly, ensuring the importance and urgency of tasks are linked to organizational outcomes; that they are completed and tasks don’t get missed. Third, to create an easy, user friendly web based system that links tasks and prioritizes in line with these.
Empowering individuals unleashes a fuller capability of managing time and resources, this leads to creating a fully engaged team who will be motivated to share organizational goals and values. Team members in organizations achieve value in job satisfaction by knowing they have achieved goals. Team engagement would come through members feeling they have given a valued contribution and having the ability to align priorities with the organizations overall objectives and values in mind.
By incorporating goals and values into the ranking process and establishing priorities, this will lead to an alignment of organizational outcomes.
By using the principles of the web, create a priority system that can be linked to various activities and participants. This system will be based around transparency and openness processes for prioritizing; sharing and capturing priorities within organizations that will allow for collaboration and community; whilst allowing for self determination and accountability. It will also allow for peer support and review.
MOONSHOTS – focus is on Unleashing Capability
Increase trust reduce fear - through empowerment and engagement along with transparency and openness, create a system of prioritization that shares in the process of meeting organizational goals, values and necessary outcomes for achievement.
Reinvent the means of control – through self determination and accountability – again knowing what the goals and values are and prioritizing according to these creates self management and control, along with personal responsibility and accountability
Amplify imagination – through collaboration, community and openness; working together; sharing information; having the same over-riding goals; having other team members in the organization available to contribute and sound idea’s off. These will allow fresh approaches to achieving outcomes and approaching priorities.
Take the work out of work – through community and openness work should be a fun extension of an individual and can become part of their identity.
With an easy to use web based system everything would be available at the push of a button. Many companies are already starting to use technology like this for example Air NZ has an interactive screen on all international flights where passengers can order movies, listen to music, play games, order food, track flights, etc all without the aid of the airhostess.
The benefits of this web based concept would be help with workflow, steady pace and multi-tasking. It would also interrelate between activities and people within an organization.
It would help users be organized, meet goals and be able to involve others in task management. It would help in decision making; developing strategies; and planning and prioritizing. This would lead to achievement of outstanding results.
For the web based system to be impactful it needs to avoid being too difficult to use or time consuming in the process.
I propose a new web based approach to managing tasks and priorities that is simple to use and inspired by modern phenomenons such as Facebook and iPhones.
Imagine a world where at the click of a button tasks can be grouped together and dealt with in the most appropriate and timely manner. An integrative prioritization and to-do based system through the web where organizations’ objectives lead the way. It would multi interface between software and link common work based tools such as Outlook, calendars, contacts emails; incoming or outgoing phone calls; Word; Excel; CRM and other software can be linked, prioritized and then scheduled for action according to priority. There could be a plug-in or add in for these software’s.
Transparency, Openness Collaboration and Community
A structure involving all parties to a task being able to know the progress each member is at, what still needs to be accomplished and all are able to be updated as tasks are completed. It would also be useful in mind-mapping concepts.
The process would be open and transparent, allowing for comments and feedback from within the organization as the wisdom of many is known to reduce errors (Herzog & Hertwig, 2009). The option of group feedback helps generate ideas, develop concepts and leads to solutions. This could be like on Facebook, where people put comments on their status page and then their friends comment on that. Peers would be able to make suggestions and offer links to information sources.
Another feature would be tasks that interrelate with other people would be linked between these people and then each would give feedback and rating upon completing of tasks or objective. For example a sale on the auction website ‘Trade Me’ requests each participant to rate the transaction and comment.
Self Determination and Accountability
Each user has the flexibility to choose the design, layout and flow of their priority manager. These formats would be adaptable, taking shape in the form of flow chart, or to do list, or even activity bubbles that turn into happy faces on completion (making it more of a fun game format)
KEY FEATURES OF THE WEB DESIGNED PRIORITIZER
The web based system would also be useful in ongoing or repetitive tasks as users would be able to create templates and set reminders for future dates. All the tasks needed to meet the objective would be there and able to be updated if necessary.
Often when an objective is set unforeseen tasks come up, using the web based system tasks would easily be able to be added to the objective and prioritized to fit in with other tasks. Priorities changes in importance status closer deadlines or once proceeding activity is completed.
Tasks flow in relatedness, where same activities with different contacts or tasks would be linked and able to be done at the best possible time. Reminders would pop up when a task deadline is approaching. This would keep the focus on finishing task and meeting deadlines and ensure all activities are completed and actions are not missed creating a higher level of quality, attention to detail and thoroughness.
Tasks would be easily prioritized and able to be allocated to the best time to complete, whilst ranking them in the order of importance and relationship with organizational goals and values.
